Three operations managers explain what has changed since they left their Excel file behind.

From 3 hours of planning a day to 10 minutes

    Operations officer, 13 recycling centers

The context. An operations officer at a major French environmental services group organises, with two colleagues, the work of 13 recycling centers: 80 site attendants, 20 drivers, 30 trucks and around 200 skips.

Before. The schedule lived in a shared Excel file that was never up to date. Every change had to be copied across by hand, and errors piled up. The team spent at least 3 hours a day on it. With nothing kept in sync, temp workers were even ordered twice on occasion.

Getting started. The operations officer presented their organisation and business rules to IDDEOS. A test version was delivered, and the decision was made within the month. IDDEOS took over the existing data from the Excel files: the team had nothing to re-enter.

Today. The schedule is used every day by the three operations officers, and checked by site attendants and drivers on their phones. New instructions go out with a photo, and teams know about them within a minute.

« We had already looked closely at the tools on the market, but none of them met 100% of our needs. IDDEOS listened to us and straight away offered simple solutions that covered 100% of our needs. »

No more calls to find out where to go

    Operations manager, 7 recycling centers

An operations manager schedules the teams of 7 recycling centers. With the old Excel file, a last-minute absence sometimes left a site understaffed. Today, the tool flags in advance a staff shortage or an attendant with too many or too few hours, and a gap in the schedule is filled in a few clicks with a temp worker. The team was up and running two weeks after the demonstration.

« Bringing in temp workers as soon as there's a gap in the schedule is child's play. »

45 collection rounds, with no crew errors

    Operations officer, waste collection

An operations officer organises around 45 collection rounds a week, each with its own crew and constraints. One day, a truck of the wrong size was assigned to a round: the driver, who was new, didn't know it couldn't get through everywhere, and the round had to be stopped. Today, the schedule checks truck size and availability, and flags any crew that doesn't include at least one driver and one loader.
